Job Title: Office Assistant Job Summary:

We are looking for a reliable and proactive Office Assistant to manage day-to-day office activities and support the smooth running of operations. The role involves both in-office duties and outdoor tasks such as payment collection and other office-related errands.

Key Responsibilities:

  • Payment Collection: Visit clients or vendors for payment collection as required and ensure timely submission of the collected amounts to the office.
  • Banking Tasks: Handle routine banking activities such as depositing cheques, withdrawing cash, or submitting documents.
  • Document Filing and Management: Maintain organised records of all documents, invoices, and receipts. Ensure proper filing systems are followed.
  • Office Supplies Management: Monitor inventory levels of office supplies and coordinate with vendors for replenishment.
  • Delivery and Pickup: Collect and deliver documents, materials, or packages to and from clients, suppliers, and other stakeholders.
  • Errands: Handle miscellaneous errands such as purchasing office supplies, collecting couriers, or arranging travel bookings.
  • Support to Staff: Assist with routine administrative tasks such as photocopying, scanning, data entry, and other clerical duties.
  • Vendor Coordination: Maintain contact with vendors, follow up on deliveries, and manage service providers.
  • Facility Management: Ensure office cleanliness and proper maintenance by coordinating with housekeeping and repair service providers.

Required Skills:

  • Strong organisational skills and attention to detail.
  • Ability to multitask and handle various assignments efficiently.
  • Good communication and interpersonal skills.
  • Basic knowledge of MS Office (Word, Excel, etc.).
  • Ability to work independently and handle outdoor tasks responsibly.
